Responsibilities

Key Responsibilities

Executive & Administrative Support

  • Provide direct support to senior construction and fiber deployment executives
  • Manage complex calendars, meetings, travel, and field visit schedules
  • Prepare agendas, presentations, reports, and executive correspondence
  • Serve as a key liaison between executives, internal teams, contractors, municipalities, and vendors

Construction & Fiber Operations Support

  • Assist with coordination of underground fiber construction projects, timelines, and milestones
  • Track and organize project documentation including permits, contracts, invoices, SOWs, and change orders
  • Support communication between field crews, construction managers, engineering, and leadership
  • Help monitor project status updates, deliverables, and reporting deadlines

Financial & Vendor Coordination

  • Assist with purchase orders, invoice processing, expense reports, and budget tracking
  • Coordinate with vendors, subcontractors, and suppliers for documentation and scheduling
  • Maintain accurate records related to construction costs and vendor agreements

Compliance & Documentation

  • Organize and maintain records related to permits, right-of-way access, safety documentation, and compliance requirements
  • Ensure confidentiality of sensitive executive, financial, and project information
  • Support audit readiness and internal reporting requirements

General Office & Team Support

  • Coordinate meetings across departments including construction, engineering, finance, and operations
  • Support onboarding of new construction or field personnel as needed
  • Anticipate executive needs and proactively resolve administrative issues

Qualifications

RequiredQualifications

  • 3+ years of experience as an Executive Assistant or Senior Administrative Assistant
  • Experience supporting construction, telecom, utilities, or infrastructure teams strongly preferred
  • Strong organizational, time management, and multitasking skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint)
  • Ability to work independently in a fast-paced, deadline-driven environment

PreferredQualifications

  • Prior experience in telecom construction or underground fiber deployment
  • Familiarity with construction terminology, permitting processes, and vendor coordination
  • Experience with project management or document management systems
  • Ability to interpret basic project schedules, reports, and budgets
